Managed Payouts

In a few countries, ProhostAI collects guest payments and pays you itself — not the same as owner payouts

4 min readBeginner

Overview

Managed Payouts is how ProhostAI pays you in a small set of countries where you can't connect your own Stripe account to ProhostAI (Mongolia, for example). There, ProhostAI collects your guests' payments for you, as your limited payment collection agent, and pays your share to your bank account. Where you can connect your own Stripe account, you're paid through Stripe as usual, and Managed Payouts doesn't apply to you. Managed Payouts isn't offered everywhere Stripe can't be connected: in most of those countries, payouts aren't available yet.

Managed Payouts is not owner payouts. Owner payouts split a listing's revenue between you (the property manager) and the listing's owners. That's Owner Statements and the Per-owner payout mode. Managed Payouts only decides who collects the guest's money when your own Stripe account can't be used. The two work together: an owner in a Managed Payouts country is paid by ProhostAI, and shows as Paid by ProhostAI on the Owners page.

Do I use Managed Payouts?

ProhostAI decides from your country, and uses one method per person or business it pays. Settings → Payouts shows which one applies to you:

  • It asks you to connect Stripe. You're paid through your own Stripe account. Guests pay you directly, and Managed Payouts never comes up.
  • It asks you to add your bank account. You're on Managed Payouts: ProhostAI collects your guests' payments and pays you.
  • It offers neither. Payouts aren't available for your country yet. Contact support.

How you get paid

Every stay follows the same four steps, shown on each reservation and on Settings → Payouts:

  1. Paid. The guest pays ProhostAI when they book. Your direct-booking checkout and site footer tell the guest that ProhostAI, Inc. collects the payment on your behalf.
  2. Held. Your share is held until the day after check-in.
  3. Sending. ProhostAI sends it to your bank account on the next weekly payout day, converted to your payout currency. If what you're owed is under about US$100, it rolls over to a later payout.
  4. Arrives. It typically arrives in 1–3 business days, with a receipt and a trace number you can give your bank.

A refund before check-in means nothing was owed, so nothing is sent. A refund after a payout comes out of your next one.

What it costs

10% of each booking, all-in. Card processing, the payout and currency conversion are included, and nothing else is deducted.

Setting it up

  1. Open Settings → Payouts. Use the Business payouts card, or Your payouts if you're paid personally (for example, as an owner).
  2. Tick the box that authorizes ProhostAI, Inc. to collect guest payments on your behalf as your limited payment collection agent.
  3. Add your bank account. Stripe collects your details securely, and you never need a Stripe login.
  4. Confirm your tax status once, before your first payout. Because you're paid from the US, ProhostAI keeps a simple statement (a W-8 form) that you're not a US taxpayer. Nothing is withheld from your payouts.

For now, listings paid through Managed Payouts are priced in US dollars.

What isn't available yet

A few features need your own payment account and aren't available on Managed Payouts yet: paid guidebook upgrades, checkout add-ons, date extensions, online store orders and gift card sales. They show as unavailable instead of failing at checkout. Your direct-booking site still takes bookings.

Ending Managed Payouts

Ask support, in the app or at support@prohost.ai. ProhostAI stops collecting new guest payments for you right away. Everything already collected is still paid out on the normal schedule, once any refunds or disputes on it settle.
